Client overview
Entura is the consulting division of Hydro Tasmania, Australia's largest generator of clean, renewable energy. With over a century of experience serving Tasmanian communities, Entura has evolved into one of the world's most experienced specialist power and water consulting firms. They create sustainable power and water solutions across the Indo-Pacific region, employing more than 280 people across multiple international offices. Daniel Marr, serving as Manager Bid Optimisation at Entura, played a key role in implementing the new solution.
The challenge
Entura had been relying on an aging in-house legacy tool to maintain records of their employees' skills, experiences, and qualifications, as well as tracking company projects. While this tool had served them well historically, it had become unsupported and lacked the flexibility needed to meet their evolving business requirements. The company needed enhanced security and privacy standards, and wanted to reduce the burden on their internal IT resources. Rather than attempting to update their existing CV Writer tool, they decided to seek a commercial, off-the-shelf SaaS solution that would be both user-friendly and future-proof.
Legacy tool was inflexible
A cloud-based solution was preferred
Data had to be migrated from a legacy system
ISO 27001 requirement
Why Flowcase
After an extensive search through various SaaS and CV database tools, most of which were primarily designed for recruitment, Entura discovered Flowcase - a solution specifically tailored for professional services firms handling numerous bids and proposals. Daniel Marr noted, "An important aspect of the process was to be able to do a comprehensive functionality evaluation and test the solution for ourselves! It showed me that Flowcase was confident in its product." The team was particularly impressed with Flowcase's responsiveness and willingness to conduct online conferencing despite the time zone differences between Tasmania and Europe.
”IT security and compliance were of utmost importance when we searched for a new tool. We therefore required that the vendor should have ISO 27001 certification.”
How Flowcase helped
The implementation process was comprehensive and well-structured. After initial video conferencing demonstrations, Flowcase provided Entura with a trial account containing their own data and templates, allowing them to test all features including templates, backups, user interface, and support. The data migration process was seamless, with Flowcase working closely with Entura to transfer content from their legacy system via secure CSV files.
The transition included master data cleaning, user training sessions, and SSO setup for secure access. The combination of high-quality data migration, thorough training, and an intuitive user interface ensured a successful launch. Since implementation, Entura has benefited from a readily available, secure, and well-maintained system that meets modern security standards. End-users have praised the improved interface, particularly the 'suggested skills' and experiences features, which have significantly reduced the time spent updating CVs and case studies.
The benefit of migrating from legacy systems to Flowcase
The new system has substantially decreased demands on Hydro Tasmania's internal IT team, with efficient troubleshooting support available through chat and email ticketing. The bid team can now quickly compile and tailor CVs and case studies for various formats, including specific templates required by the World Bank and other NGOs. The system's ability to link case studies with relevant CVs has streamlined project descriptions and improved efficiency in bid preparation.
