Case study

Halogen

Halogen wanted to both have full control over the contents of their employees' CVs as well as the company's Case Studies, and at the same time be able to get the content exported in various formats for bids and proposals. Halogen being Norway's leading design agency, with experience working with many SaaS tools, had a long list of requirements when it comes to how to use a cloud system such as Flowcase. Halogen also had requirements with regards to how the actual CVs and Case Studies were exported for bids and proposals. Having professional, nicely designed CVs and Case Studies every time was an important criterion when deciding which tool to use.

Client overview

Halogen is a specialized design consultancy that focuses on solving problems in complex environments. Their expertise spans service design, digital user experiences, systems-oriented design, and design for safety-critical environments. They serve an impressive portfolio of clients, including major Norwegian technology and innovation companies like Equinor, Kongsberg Gruppen, and Hydro, as well as consumer-oriented enterprises such as Telenor and Block Watne. In the public sector, they work with numerous government bodies including the Ministry of Health and Care Services and Oslo Municipality. Richard Tallaksen, serving as Project Manager & Designer at Halogen, played a key role in implementing and utilizing the new solution.

The challenge

Like many professional services companies, Halogen frequently needed to submit case studies and project references as part of their bid, proposal, and tender submission processes. They had been creating these documents using Word, InDesign, or PowerPoint, which was time-consuming and inefficient. As a design company, they needed a solution that could not only manage their CVs and case studies but also maintain the high visual standards expected from a design services provider. Additionally, they needed a streamlined way to submit information for public procurement tenders without maintaining multiple versions of documents.

Why Flowcase

Halogen selected Flowcase because it offered greater control over both content and format, while providing the flexibility to tailor submissions for each bid. The cloud-based nature of the platform and its ability to deliver the visual expression needed for a design company made it an ideal choice. The platform's ability to facilitate both internal and external collaboration for creating high-quality, tailored CVs and case studies was also a crucial factor in their decision. As Richard Tallaksen explains: "Halogen chose Flowcase and use the tool to get both more control over the content and format, as well as the ability to tailor each time a bid is due."

”Having access to Flowcase's dedicated support team made it possible to make iterations to templates and data, ensuring that each bid is delivered in time, and having the best possible quality in terms of content and layout.”

How Flowcase helped

The implementation of Flowcase has transformed how Halogen manages and presents their project information. Instead of having data scattered across various file shares, they now have a centralized, purpose-built tool that saves time with each new project completion. The platform's proposal and highlighting functionality allows Halogen to tailor each CV and case study to specific bids, ensuring the most relevant skills and experiences are highlighted in submitted documents.

Flowcase's dedicated support team has been instrumental in helping Halogen adjust and create new templates for specific bids and proposals. As Richard notes, "Having access to Flowcase's dedicated support team made it possible to make iterations to templates and data, ensuring that each bid is delivered in time, and having the best possible quality in terms of content and layout."

A particularly valuable feature for Halogen has been the ability to manage customer contact information within case studies effectively. The platform allows them to easily show or hide contact details and track whether projects have been approved for use in bids or proposals. This functionality ensures that reference information is properly managed and compliant with usage permissions. The tagging system for case studies has streamlined the process of identifying which references can be used for specific opportunities, adding another layer of efficiency to their bid preparation process.
