Client overview
Knowit is a major Nordic technology consulting firm established in 1990, employing approximately 3,800 people across Sweden, Norway, Denmark, Finland, Germany, and Poland. Listed on the Nordic Exchange in Stockholm, Knowit operates through four key business areas: Experience (digital presence and user experiences), Insight (digital management consultancy), Solutions (system development), and Connectivity (high-tech software engineering). Per-Olof Vallin serves as the Bid Manager, leading complex proposal initiatives.
The challenge
Amongst many challenges, Knowit faced the complex task of coordinating a large-scale bid for a frame agreement, consisting of four distinct competence areas. The project required managing and collaborating with 26 consortium partners, each needing to submit and tailor their CVs and case studies. The scale and complexity of this bid demanded a sophisticated solution that could handle multiple stakeholders while maintaining quality and consistency across all submissions.
Had to deliver a large 4 part bid with custom specifications
All of the areas required high quality, tailored CVs
Collaborated with 26 consortium partners
How Flowcase helped
Flowcase enabled Knowit to streamline their bid process through several key features and support services:
Custom Template Development
The Flowcase template team quickly created a custom CV template that met all RFP requirements, providing a foundation for consistent, high-quality submissions across all partners.
Collaborative Proposal Management
The platform's external proposals feature facilitated seamless collaboration among the 26 consortium partners. Each partner could access and tailor their CVs within the shared collaborative proposal space, while the Flowcase team provided support by setting up trial accounts for new participating companies.
Quality Assurance Process
The platform enabled a thorough QA process, allowing four different reviewers to examine each CV and resume. The final documents could be exported directly from Flowcase in the custom-made template, ensuring consistency across all submissions.
Created a proposal in CV Partner, and added own CVs
Shared the proposal with 3rd party partners, who added and tailored their own CVs
QA in CV Partner and exported as a finished document
"We decided to be fully transparent, and that each partner had direct access to each other's CVs as well as the final version of the submitted bid. This made the entire process easier."
Implementation success
The entire bid submission process was completed in approximately 30 days, with several notable achievements:
Seamless Collaboration:
Knowit implemented a transparent approach where all partners had direct access to each other's CVs and the final bid version through Flowcase, complementing their existing Microsoft Teams and SharePoint setup.
Minimal Training Required:
End users could begin using the platform immediately with no training, while bid team members needed only a brief 30-minute session for advanced features.
Intuitive User Experience:
As Vallin noted, "The process was both streamlined and allowed us to get the data we needed in a much faster way compared with our legacy tool, or doing the same process manually."
Continuous Improvement
Following the successful bid submission, Knowit engaged with Flowcase's Customer Success Team to provide feedback and suggest minor improvements, such as:
- Enhanced capabilities for sharing proposals with multiple partners simultaneously
- Better visibility of contributing partner companies within CVs and resumes
Long-term Impact
After nearly four years of using Flowcase, Knowit has experienced significant benefits. Vallin emphasized, "Having used Flowcase for almost 4 years, the responsiveness of the team, both for meetings and the support chat is by far the best we have experienced." The platform's specialized focus on winning bids and proposals has proven invaluable, with Knowit fully transitioning from their legacy in-house CV tool to embrace Flowcase's user-friendly SaaS solution.
The success of this large-scale bid has established a new standard for collaborative proposal management at Knowit, with plans to continue using Flowcase's external proposals feature for future bids. The transparency and efficiency gained through the platform have transformed their bid management process, as Vallin confirmed: "We decided to be fully transparent, and that each partner had direct access to each other's CVs as well as the final version of the submitted bid. This made the entire process easier."
